Terms of Service

These Terms govern use of LINKERNO’s website and services. Paid services may also be governed by a signed service agreement, order form, checkout terms, plan confirmation or other written agreement. If a signed written agreement conflicts with these website Terms, the signed agreement controls for the applicable paid service.

The service

LINKERNO provides configurable Virtual Front Desk and customer-operations services for inbound business communications. Depending on the account and configuration, supported features may include call handling, customer inquiry capture, website chat, contact and conversation records, lead operations, website-derived business knowledge, notifications, follow-up, appointment-related workflows, billing visibility, automated monitoring and related support. LINKERNO may also offer separately scoped professional services such as AI business assessments, automation implementation, CRM or calendar integration, website development, workflow design, migration, consulting and related technical services.

Feature status matters

Features marked Available, Controlled Rollout, Shadow, Beta or similar are not equivalent. A feature may exist in the platform without being publicly active for every customer. Availability can depend on business configuration, plan, provider support, readiness checks, consent, legal requirements and account approval.

Automated onboarding and workspace creation

A self-service signup may create a LINKERNO business record, client portal user and internal onboarding state immediately. LINKERNO may then prepare website knowledge, seed a business profile, run verification and readiness checks, send email-verification or password-setup messages and prepare billing or trial steps. If a required check, provider or approval is not ready, onboarding may stop in a pending, review, Shadow or error state rather than automatically activating the affected customer-facing feature.

Web Chat and customer-facing channels

LINKERNO Web Chat is a platform-owned website chat capability that can store conversations, use approved or imported business knowledge, capture inquiry details and create contact or lead records. New accounts may be configured in Shadow or pre-live mode first. A channel is not considered Live for a customer merely because the underlying software exists.

For supported accounts, a business may record a Web Chat enable preference in its client workspace. That preference does not bypass readiness controls. LINKERNO may automatically move Web Chat from Shadow to Live only after the applicable customer approval, account/trial status, verified email, business instructions, business knowledge, widget configuration, legal-page availability and safety checks pass. If a critical readiness condition later fails, LINKERNO may automatically return an already-live Web Chat channel to Shadow rather than continue customer-facing execution. A business may disable the channel through the supported account control, which changes the channel to Off. Businesses remain responsible for accurate business knowledge, workflow rules, escalation instructions and any business-specific disclosures or legal requirements applicable to their own use.

Appointment, follow-up, transfer and action workflows

LINKERNO may prepare or execute supported follow-up, transfer, booking, maintenance, showing or other workflow actions through guarded automation and compatible providers. An appointment request is not treated as a confirmed booking unless the applicable scheduling system or provider explicitly confirms it. External actions may be blocked, held for review or kept in Shadow Mode when readiness, provider health, confidence, consent or other safety requirements are not satisfied.

Action readiness is capability-specific. A general Action Engine setting does not by itself make every external action Live. Booking requires the applicable calendar provider to be healthy and Live. SMS follow-up requires messaging readiness and still remains subject to any applicable per-recipient consent, opt-out and messaging requirements. Warm transfer requires a recorded business preference, a valid transfer destination, business transfer/escalation instructions and a validated provider adapter that explicitly reports Ready. Until those conditions are satisfied, warm-transfer tasks remain Shadow and must not be represented as completed handoffs.

LINKERNO may automatically move an eligible Shadow task into the execution queue when its specific readiness conditions later become satisfied. Conversely, a queued task may be returned to Shadow if a required capability is no longer ready before execution. These readiness transitions do not override provider confirmation, consent, confidence, account status, idempotency or other action-level controls. Human callback requests may be captured as internal work items without representing that a human callback has actually occurred.

LINKERNO Native Calendar

For supported accounts, LINKERNO may offer an internal booking provider called LINKERNO Native Calendar. A business may choose whether to enable it, configure business hours, appointment duration, minimum notice and booking horizon, and use the business timezone stored in the workspace. A new Native Calendar configuration remains Shadow until the applicable customer approval, valid schedule and Go-Live Gate are satisfied. LINKERNO may then move the calendar to Live automatically. A requested appointment is not a confirmed slot until the Native Calendar validates the requested date and time and returns an explicit provider confirmation.

Native Calendar checks the configured schedule, minimum-notice and horizon limits and existing confirmed appointments before accepting a booking or reschedule. Overlapping confirmed appointments are rejected to reduce double booking. The internal provider confirmation does not guarantee that the customer will appear for the appointment, that the business will accept or perform the underlying service, or that a third-party calendar outside LINKERNO has been synchronized unless a separate integration is active.

Live voice appointment booking

For supported Retell voice accounts using a Live and ready LINKERNO Native Calendar, LINKERNO may allow the voice assistant to request real available slots during the active call and present only slots returned by LINKERNO. The assistant must not invent availability. LINKERNO issues a short-lived appointment offer tied to the signed call and the mapped business; the caller must select one of the offered slots before booking is attempted. The selected slot is checked again against current business hours, minimum notice, booking horizon and confirmed appointments immediately before execution.

A voice appointment is not booked merely because the caller requests a time or the assistant invokes a tool. LINKERNO treats the appointment as booked only after the canonical Booking Engine receives an explicit provider-confirmed result and a provider confirmation identifier. Repeated provider/tool requests are handled through idempotency safeguards so an eligible retry is not intended to create a second appointment. If the offer expires, the slot changes, the call cannot be mapped to exactly one business, the provider is not healthy, or the applicable Live/readiness gate fails, LINKERNO may reject the booking and require availability to be checked again.

For supported Retell voice configurations, LINKERNO may reconcile a LINKERNO-managed warm-transfer tool into the customer’s Retell LLM only after the applicable approval and readiness checks pass. LINKERNO is designed to preserve unrelated provider tools, use the customer-approved transfer destination and transfer rules, and read the provider configuration back before treating the capability as Ready. Warm transfer is intended to execute only during the live voice session. Background replay of a transfer task is blocked. A transfer attempt is not a successful handoff unless the provider actually connects the receiving party; if a transfer fails, LINKERNO must not represent that the caller was successfully connected and may continue intake or preserve a callback request instead.

Website Scanner, website synchronization and monitoring

LINKERNO may retrieve publicly available website content or technical metadata to provide website scanning, business-knowledge preparation, change detection, search/social visibility checks or related diagnostic functions. A scan or monitoring result is informational and may be incomplete, delayed or affected by third-party systems. LINKERNO does not guarantee search-engine indexing, ranking, social reach, crawler behavior, website performance or business results. Website-derived changes may be staged or reviewed before they affect customer-facing automation.

Professional services and one-time projects

AI automation, AI implementation, CRM/calendar integration, website development, consulting, migration and other project work may be sold separately from a recurring AI Virtual Front Desk subscription. Public “starting at” prices describe the minimum planning price for a typical standard scope, not an automatic fixed quote for every project. Current public planning minimums may include a free AI Business Assessment, focused AI Automation Setup starting at $499 one-time, AI Implementation Projects starting at $1,500, Business Website / Conversion Website projects starting at $1,250, and custom CRM / Calendar / Workflow Integration starting at $750. LINKERNO will confirm the applicable scope, deliverables, dependencies, exclusions, provider costs, timing and final price before paid custom project work begins. Enterprise, multi-location, migration-heavy, regulated-data or unusually complex projects may require a custom quote.

Your existing business number and routing

Many LINKERNO configurations are designed to work with a business’s existing public phone number through supported forwarding, SIP, import or other routing. Exact capabilities depend on the customer’s carrier, phone system, configuration and provider availability. Customers remain responsible for authorizing routing changes associated with their own accounts.

Phone provisioning

A new paid phone number is not purchased merely because a workspace or trial exists. If a customer requests a new LINKERNO number, provisioning is deferred until the applicable readiness checks are satisfied and the required approval is recorded. Keeping an existing number may still require a provider destination number, forwarding, SIP or other supported configuration and may involve third-party charges.

Recording, transcription and messaging

Recording, transcription, automated messaging or similar features are not treated as automatically enabled for every customer. If a configuration uses those features, the parties must address applicable notice, consent, carrier, provider and legal requirements before launch. Customers must not instruct LINKERNO to use a workflow that violates applicable law.

Customer responsibilities

Customers are responsible for providing accurate business instructions; reviewing material workflow rules; keeping service-area, routing, pricing, transfer destination and contact information current; maintaining required licenses, insurance, permits and authorizations; handling their own customer contracts and service work; and using LINKERNO lawfully.

No lead-generation or business-outcome guarantee

The core Virtual Front Desk service helps process and organize inquiries that a business receives. Unless LINKERNO separately agrees in writing to another service, LINKERNO does not promise traffic, lead volume, appointments, customers, jobs, sales or revenue. We do not guarantee that every call, chat, message or workflow will complete successfully or that information supplied by a caller or website is accurate.

Third-party services and availability

LINKERNO relies on third-party telecommunications, hosting, AI, email, payment, messaging, scheduling, security and automation providers. Those systems can experience outages, latency, carrier failures, internet failures, API changes or other interruptions outside LINKERNO’s control. LINKERNO aims to operate reliably but does not promise uninterrupted or error-free availability.

AI Front Desk voice trial

The current launch offer includes a 7-day AI Front Desk voice evaluation after required account and safety checks are complete, with up to 20 voice minutes unless a written order or offer states otherwise. The 20-minute allowance applies only to the AI Front Desk voice evaluation and is not a trial allowance for every LINKERNO module. Other LINKERNO products may use separate free-scan, preview, assessment, sandbox or Shadow evaluation paths. A payment method may be required before voice trial activation. The selected paid plan is not charged before the trial ends.

If the customer cancels before the voice trial ends, the selected paid plan does not begin and the first recurring plan charge is avoided. If the customer does not cancel before the trial ends, the selected paid plan begins automatically when the trial ends. Trial activation does not mean every provider-dependent or Controlled Rollout feature is immediately Live.

Plans, usage and payment

Current launch plans for the recurring AI Virtual Front Desk subscription are Starter at $149/month with 200 included voice minutes, Growth at $249/month with 400 included voice minutes, and Pro at $499/month with 800 included voice minutes. Current additional voice usage is $0.65/minute, $0.60/minute and $0.55/minute respectively. Custom, high-volume, additional-number, messaging, integration, professional-service or special configurations may be priced separately.

Voice usage may be measured from handled call duration recorded by providers and LINKERNO systems. The client portal may display usage, allowance, estimated overage and billing state for convenience. Final invoiced amounts may reflect provider corrections, taxes, credits or other authorized adjustments. Payments may be processed by a third-party payment provider.

Billing, renewal and cancellation

Unless a customer-specific written agreement states otherwise, when a selected paid plan begins after the voice trial it is billed monthly and renews automatically while active. A customer may cancel before a monthly renewal to prevent the next recurring plan charge. A billing period that has already started is generally not prorated or refunded except where required by law or expressly approved by LINKERNO. One-time professional-service projects may use separate deposits, milestones or payment schedules stated in the applicable written scope or invoice.

Suspension, safety holds and termination

LINKERNO may place an account or feature on hold, Shadow, review, suspension or termination for nonpayment, fraud, abuse, unlawful use, security risk, provider failure, material violation, failed readiness checks or other material operational or legal concerns. Safety holds are designed to stop external execution rather than guess.

Customer materials and intellectual property

Customers represent that they have the rights needed for LINKERNO to use business names, logos, website content, descriptions and other materials supplied for the service. Customer-owned materials remain the customer’s property. LINKERNO’s website, software, workflows, documentation and branding remain owned by LINKERNO or its licensors.

Limitation of responsibility

To the extent permitted by applicable law and any signed agreement, LINKERNO is not responsible for the customer’s underlying service work, prices, licenses, warranties, property damage, customer contracts or a caller’s decision to hire or not hire a business.

These website Terms describe the current operating model and are not legal advice. Customer agreements, regulated-data workflows, recording, transcription, automated messaging, recurring billing and other material commercial/legal features should be reviewed by qualified counsel before commercial reliance.

Operational outcome analytics

LINKERNO may calculate operational conversion metrics from existing service records, including qualified inquiries, provider-confirmed bookings, provider-confirmed warm transfers, completed follow-up actions and won/lost lead stages. These metrics describe recorded workflow outcomes and do not guarantee future appointments, jobs, revenue or business results. Estimated customer value is kept separate from LINKERNO billing revenue. LINKERNO treats subscription revenue as verified only when collected-cash records show an amount greater than zero.

Follow-up response analytics

For supported follow-up workflows, LINKERNO may distinguish a queued or sent follow-up from provider delivery, a customer reply, a recovered lead, a later confirmed booking and a later won/lost lead stage. Sending or delivering a message is not treated as proof that the customer replied or that the lead was recovered. Recovery metrics require recorded inbound-response evidence or the equivalent canonical response state.

Performance and outcome reporting

LINKERNO may present operational metrics from records generated while providing the service, including call records, qualified lead classifications, provider-confirmed appointments, provider-confirmed human handoffs, follow-up response evidence and recorded won/lost stages. Dashboard figures describe stored operational evidence and do not guarantee future leads, bookings, jobs, revenue, return on investment or other business results. Estimates are not treated as collected cash.

CRM synchronization and prepared event records

LINKERNO may prepare internal synchronization records from confirmed service outcomes so a compatible CRM integration or authorized endpoint can process them. Creating an internal outbox record or attempting delivery does not mean information was delivered. External CRM delivery requires applicable account authorization, configuration and readiness checks, and LINKERNO records delivery only after a successful provider response. LINKERNO does not treat an appointment request as a confirmed booking or a transfer attempt as a successful handoff.

Authorized CRM delivery

When a business explicitly enables and approves a compatible CRM delivery endpoint, LINKERNO may transmit a prepared CRM event together with the linked contact name, phone and email only when those fields exist in the canonical contact record. Delivery is recorded only after a successful response from the configured endpoint. Queueing, attempting or retrying a delivery is not treated as successful delivery.
